ALTAS LAW FIRM, and our offices (specifically, it refers to the offices listed on website www.altas.vn) (hereinafter referred to as “ALTAS LAW”), have established the following personal information protection policy for the treatment of personal information within ALTAS LAW. ALTAS LAW  will comply with this policy as well as laws and regulations related to Personal Data Protection of Vietnam.

2. Acquisition of Personal Information

ALTAS LAW will specify the purposes of use of Personal Information, and acquire Personal Information in the necessary scope and appropriate manner.

3. Purposes of Use of Personal Information

ALTAS LAW shall utilize Personal Information exclusively for the purposes specified below, unless otherwise expressly notified, publicly disclosed, or authorized by applicable laws or regulations. Furthermore, Personal Information obtained for a particular purpose within any of the categories listed may be employed for other purposes falling within the same category.

(i) Provision of legal services:
・provision of legal services;
・responding to various types of inquiries, or the like; or
・other purposes incidental to those mentioned above (including the provision of information, receipt of applications, or the like, set forth under (ii) below).

(ii) Provision of legal information or details concerning the possibility of providing legal information regarding:
・activities of our firm, or the like (including sending or transmitting letters of greeting, season’s greetings, etc);
・invitations for, or receipt of applications for enrolment and participation in, seminars and symposiums;
・sending or transmission of, or receipt of applications for, newsletters;
・sending or transmission of books and papers; or
・provision of other information within the scope of this item, or receipt of requests for, or inquiries regarding, the provision of such information.

(iii) Recruitment of attorneys, other professionals, staff or interns:
・provision of information, or receipt of applications for, or inquiries regarding recruitment;
・ongoing communications and provision of information regarding ALTAS LAW FIRM to applicants for recruitment or those who have received an informal employment commitment;
・personnel management and training for those who have received formal employment offers; or
・other purposes incidental to recruitment activities.

4. Management of Personal Data

(i) Data Security Measures
ALTAS LAW shall implement appropriate technical and organizational measures to ensure a level of security appropriate to the risk, designed to protect Personal Data against unauthorized or unlawful processing, accidental loss, destruction, damage, alteration, or disclosure.

(ii) Internal Supervision
ALTAS LAW shall ensure the secure and proper management of Personal Data by exercising necessary and appropriate supervision over its attorneys, other professionals, and personnel engaged in the handling of Personal Data.

(iii) Supervision of Processors
In cases where the processing of Personal Data is outsourced to third-party processors, in whole or in part, ALTAS LAW shall select processors providing sufficient guarantees to implement appropriate technical and organizational measures in compliance with applicable data protection laws and regulations. ALTAS LAW shall enter into appropriate contractual arrangements with such processors and shall exercise necessary and appropriate supervision to ensure that Personal Data is processed in accordance with the agreed terms and applicable legal obligations.

5. Provision of Personal Data to Third Parties

ALTAS LAW shall not disclose or provide Personal Data to any third party without obtaining the prior consent of the data subject to whom the Personal Data pertains, unless such disclosure is permitted or required under applicable laws or regulations.

6. Joint Use of Personal Data

(i) Scope of Joint Use
Members of ALTAS LAW may, where necessary, jointly utilize Personal Data, including but not limited to names, residential or business addresses, telephone numbers, e-mail addresses, and any other information held by the members of ALTAS LAW.

(ii) Purpose of Joint Use
Such joint use of Personal Data shall be conducted solely for legitimate business purposes in accordance with applicable data protection laws and regulations.

(iii) Management Responsibility
In cases of joint use, ALTAS LAW FIRM shall be designated as the entity responsible for the management, security, and oversight of the jointly used Personal Data, ensuring its proper handling in accordance with this policy and applicable legal requirements.

7. Request for Notification of Purposes of Use, Disclosure, Correction, Discontinuation of Use or other Treatment of Personal Data

In relation to any Personal Data held by ALTAS LAW, if a request is made by the data subject or their authorized representative regarding any of the items listed below, ALTAS LAW will first verify the identity of the requester. Upon successful verification, ALTAS LAW FIRM will respond to the request in compliance with the relevant Personal Data Protection laws and regulations of Vietnam:

(i) Notification of the purpose of use of the Personal Data;

(ii) Disclosure to the principal of the relevant Personal Data that enable identification of the principal;

(iii) Correction or deletion of, or addition to, the relevant Personal Data that enable identification of the principal; or

(iv) Discontinuation of use, erasure or discontinuation of the provision to third parties of the relevant Personal Data.

ALTAS LAW may modify this Privacy Policy as necessary, and any such modification will be posted on this website.
